Coordinator Guide: When Plans Change We Can Help
We want to support and encourage you during this time when plans might need to be altered. Our team at TakeThemAMeal.com is experiencing the same uncertainties as those of you reading this. We are all in this together.
In many ways our websites were already designed to communicate last minute updates like the need to cancel an event or pause a meal schedule. We understand how a sudden illness or unexpected diagnosis and yes, even concerns like the coronavirus, can alter your plans.
Our team is available to help you as always. We want to make sure meal coordinators have the tools to manage their schedules with ease.
Here are some stress-free ways for coordinators (using either TakeThemAMeal.com or PerfectPotluck.com) to share changes:
How do I communicate updates with those who are part of my meal schedule?

Coordinator Guide: When Plans Change We Can Help

To help you do this, we created a Send Emails feature that can be accessed when logged in as the coordinator using your administrative password. Click the Send Emails link in the gold bar, and select which of the three groups you would like to contact. Then compose your message and click at the bottom to send your update.
How do I cancel my Perfect Potluck event (or postpone)?
First notify those invited that the event is canceled (or postponed) with the Send Emails tool when logged in as coordinator using your administrative password. Select the group you'd like to contact, share the update and send.
Once you've notified everyone, click the Disable Meal link in the gold bar. This will deactivate your schedule and stop the reminder email. You can always reactivate the schedule if needed at a later date.
How do I pause my Take Them A Meal schedule?
We understand there are times when the need for meals will be irregular or a meal schedule may need to be stopped and started several times.
To pause a meal schedule use the Send Emails tool to let everyone know meals are not needed at this time. Then, select Disable Schedule in the gold bar. This will stop all reminder emails. You will also receive a reactivation link. When needed, reactivate the schedule and use the Send Emails tool to let others know meals are needed again.
If you need to adjust delivery dates for meals purchased through our website please contact store@takethemameal.com.
How do I end my Take Them A Meal schedule when people are still signed up to provide meals?
First notify meal providers that meals are no longer needed. You can do this with the Send Emails tool by sending a message to everyone providing a meal.
Once you've notified everyone the schedule is ending, click the Disable Schedule link. This will deactivate your schedule and stop the reminder emails. If you need to cancel meals purchased through our website please contact store@takethemameal.com. Disabling a meal schedule does not cancel meals purchased through our website.
Coronavirus and taking meals
We recently shared some important reminders of how to best take meals when the recipient is sick (and possibly contagious). I encourage you to review these healthy habits and how to best take meals to your friends as our nation battles coronavirus.
If sending a meal is a better option for you we are well stocked and glad to ship a meal to your loved ones front door.
Continue to reach out to others in meaningful ways during this time. Let our kindness, compassion and care for each other continue. We are all in this together.
